Terms & Conditions of Membership with Penketh Gymnastics Club 

All gymnasts must be registered on our Love Admin portal with full name, date of birth, details of medical conditions and two contact numbers for emergencies before attending any classes.  

  1. Club Membership - All members will be charged an annual fee in January or when they join. The cost of membership will be confirmed in the December prior.  The fee is only reduced from September. All membership payments must be kept up to date and anyone not in compliance with all parts of their membership subscription will be considered a lapsed member and unable to take part in any gymnastic activity until they return to active membership

British Gymnastics Insurance - It is the responsibility of the member or parent of a child to ensure insurance is up to date and paid for via the British Gymnastics website selecting “Penketh Gymnastics Club”, upon sign up the club will then be informed by British Gymnastics that a member has been accepted and your membership number will be updated to the system. 
  1. Class Fees - Class fees for the month will be requested at the end of the month prior and payment will be taken automatically by direct debit on 1st of each month. All members must have a direct debit/pre-authorisation set up withing Love Admin. Gymnasts will not be accepted into classes if fees have not been paid.  Failure to pay fees will put your Childs place at risk.  Please note any fees not paid by 14th month may incur a late penalty fee. 

ALL fees are subject to change and will be reviewed on a yearly basis by both Penketh Gymnastics Club and its committee. Customers will be informed of any fee increases prior to payments taken. 

Penketh Gymnastics Club run sessions throughout the year. To allow for closures necessary for a variety of reasons, monthly fees cover 48 sessions per year total. 

Make Up Session Policy 

Due to our strict gymnasts to coach ratio, missed classes will not result in make-up classes, prorated tuition or refunds. No refunds for classes missed including scheduled holidays, sickness or injury. 

Cancelled Classes 

It may be necessary for Penketh Gymnastics Club to cancel a class for exceptional circumstances and, in this case, contact will be made either by email and/or social media. 

Cancellations outside our control including, but not exclusive to, extreme weather, incident at venue or notifiable disease a refund will not be given. 

Cancellation Procedure  

Joining to be a member of Penketh Gymnastics Club and attending classes is a rolling commitment. If you wish to withdraw your membership you must notify Penketh Gymnastics Club by way of email to admin@penkethgymnastics.co.uk or info@penkethgymnastic.co.uk This must be done before the 20th month to avoid fees for the following month being charged. You are responsible for payment of membership and classes, whether your gymnast attends sessions until the time you notify us via email that they wish to leave.  

Missed Classes 

If your child is unwell or unable to attend their class for any reason please inform the head coach via email info@penkethgymnastics.co.uk or text 07910 800 497. If a gymnast misses 3 consecutive classes without notifying us, then we reserve the right to remove them from the class for those on our waiting list. You will still be charged for and owe for classes for the remainder of the month of the 3rd missed class. 

 
What to wear 

Gymnasts must be dressed appropriately and should wear either a leotard which is preferred or tucked in T-shirts and shorts/leggings. No buttons, zips, buckles or any clothing where the midriff is exposed. Penketh Gymnastics Club runs a zero-tolerance policy on jewellery in line with British Gymnastics. No jewellery should be worn at any time. If earrings cannot be removed then they must be covered using microporous tape. Please ensure this is done in advance of the class as we are unable to cover your child’s earring for you. Penketh Gymnastics Club takes no responsibility for any accidents or incidents which may occur whilst wearing any jewellery.  

Long Hair should be tied securely away from the face so that is stays up for the entire session. Fringes are to be secured with clips.  

All students should be barefoot. Where veruccas are present they must be covered with microporus tape or plasters. Socks are not permitted. 

Personal items should be left with parents or in designated areas. Penketh Gymnastics Club and its staff will not be responsible for ANY items that may be lost or stolen. 

Arrival and Pick Up 

Please ensure you arrive 5 minutes before the scheduled class time. Gymnasts and parent/carers can then come into the gym together, gymnasts should remove shoes and socks and any outside clothing in preparation for the start of the class. Our team of coaches will be available to talk to briefly at the beginning of each session if you need to make them aware of anything specific such as changes to medical information or additional needs considerations. We do ask that their details are also kept up-to-date on LoveAdmin.

We do not currently have space at the club for a permanent viewing gallery for parents/carers but we do encourage parents/carers to stay for the first five minutes of the class, to ensure their child is settled. Parent/carers can come back in for the last five minutes, so they can see what their child has been working on during the session.

We do offer a Parents/Carers Room upstairs where parents/carers can wait whilst their child takes part in their session should they wish to stay on the premises.  In the unlikely event that a child were to become upset their coach would come and find their parents/carer straight away and bring them down. If parents/carers feel that their child needs them to stay for the duration of their session, please let a member of our team know in advance so we can see how we can accommodate this and discuss any concerns that they may have.   If you feel that your child would benefit from a slower transition into the gym, then please let us know as soon as possible so we can arrange something that will suit their needs

Penketh Gymnastics Club only assumes responsibility for a gymnast from when they have invited into the gym for their class and finishes at the end of the class when gymnasts leave with a responsible parent/guardian. Please inform us if you know you will be late picking up your child. Instruct your child to wait inside the building and you should escort them from the building to your car. During peak times the parking area is crowded. Please take into consideration that our members include young children. Please drive slowly and carefully. 

Toilet Trips 

In order for classes to run smoothly without disruptions we advise that you take your child to the toilet before the start of your session, however if a toilet break is needed during class members will be directed to the toilet inside the gymnasium.  

Special Needs, Illnesses and Medical Needs 

It is the responsibility of the parent to disclose to Penketh Gymnastics Club upon registering on Love Admin any Medical, Physical or Additional needs of members and parents should speak to any coaches involved in the coaching of the participant. Where new medical, physical or additional needs occur Penketh Gymnastics Club coaches must be informed verbally before any further participation in classes and medical details must be updated on LoveAdmin. Penketh Gymnastics Club reserves the right to move members into any classes deemed appropriate to the individual needs of that member.
